Enter your own 4-digit Staff Access PIN set in the Manager Portal. Instructors use their instructor PIN; managers use their own manager PIN. Sessions stay active for 5 hours.

Rubric Library
Permanent rubric files — available even when there is no active semester.
Rubric mapping is permanent: Tropik Rubric is used for all regular student evaluations. Performer Rubric is used for all performer evaluations. Replacing a PDF updates that rubric's 1–5 score descriptions everywhere that rubric is used. Existing saved score numbers remain preserved.

Create New Semester
The new semester creates evaluation records for the current eligible ACTIVE Master Accounts roster. After creation, individual account changes stay live-linked automatically; Settings → Reload from Master Accounts remains a full reconciliation/safety tool.
Settings
Saved evaluation roster. Normal account changes stay live-linked automatically. The Reload from Master Accounts command is reserved for a full safety-backed semester reconciliation.
Master Accounts Roster
ACTIVE students come live from the same Supabase ma_students records used by Master Accounts, even without a semester. Name, email and Lead/Follow edits save to that same Master Account. Placement changes require sending an evaluation or placement notice. The roster is not rebuilt in the background while an instructor is working. This button is the full safety-backed reconciliation for the selected semester; it verifies eligible ACTIVE Leads/Follows and Performers and archives ineligible semester entries without deleting saved scores/comments. Accounts with role NOT SET are ignored.
Safety Backup: Before any full Master Accounts reconciliation, the complete current semester roster is saved in this browser and downloaded as a CSV. The reconciliation is cancelled if the CSV backup cannot be created. Ordinary page refreshes do not erase saved semester work.
CSV includes: student/account details, active status, role, performer status, level, evaluation status, instructor, placement, all rubric scores, recommendations, instructor comments, manager notes, finalized/sent dates, and timestamps.
Live Membership: ACTIVE accounts appear in the live directory automatically. When an account becomes evaluation-eligible (ACTIVE + LEAD/FOLLOW + valid level, or Performer), its current-semester evaluation is created/reactivated automatically. The full Reload button remains available as a safety reconciliation. Linked student fields: name, email, level, Lead/Follow role, and Performer status stay synchronized automatically in both systems. Linked instructor fields: name, email, roles, and active status come live from Master Accounts by staff ID; name changes propagate to class assignments, Trial evaluators, and Manual Evaluations immediately.
Evaluation Instructors
Choose which active staff with the Instructor role are available inside Evaluations.
Instructor Staff Access PINs
Manager-only. The Manager Portal Staff Access PIN is the single source of truth for Evaluations. Changes made here update that same Manager Portal PIN record—there is no separate Evaluation PIN. PINs are never displayed after saving. Changing a PIN immediately signs that instructor out of active Evaluation sessions.
Instructor Assignments
Assign one enabled instructor to each Level + Lead/Follow evaluation tab.
Recommendation Options
Any signed-in staff member can add, rename, or delete recommendation options. Deleting an option that has already been used safely archives it so past evaluations remain intact.
Trial Recommendations
These options are used only on trial result PDFs/emails. They are separate from end-of-semester evaluation recommendations. Staff can add, rename, or delete options here; used options are safely archived so prior trial results keep their history.
Semester Dates
Set the start and end dates for the selected semester. These dates save directly to Supabase.
Delete Semester
Delete the selected semester only when it was created by mistake. A safety CSV is downloaded first. Deleting a semester removes that semester’s evaluations and assignments; it does not delete any Master Accounts students.
